Summer 2014 Conference Assistant Application

Housing & Residence Life is looking for applicants who are serious about becoming a Summer Conference Assistant and have the desire to provide excellent customer service to our summer guests. This leadership opportunity is crucial to the success of our Conference Service Program. This position is considered the front line of Conference Services and it also requires a high degree of responsibility and commitment. The Summer Conference Assistant (SCA) position serves to support Conference Operations throughout the summer months. Conference Operations provides housing for New Student Conferences as well as over 40 groups each summer of varying sizes and ages. Our goal is to provide exceptional customer service throughout their stay at Winston-Salem State University by creating a welcoming environment and clean accommodations. SCA’s must be energetic and will work with professional staff to assist with a variety of activities.

Job Responsibilities

•    Must attend all staff meetings and training sessions

•    Present a good image of the University through appearance, pleasant, helpful disposition, positive and responsive attitude and actions

•    Must perform the following administrative tasks associated with summer conferences:

o Conference participant check-in and check-out; i.e. room key distribution and collection

o Inspect rooms prior to and after conferences, including distributing and collection of linen

o Report maintenance needs including filling out and submitting work requests

o Provide Conference Contacts with room information for assignments

o Respond to all summer conference building emergencies

o Distribute pertinent information to Conference Contacts; i.e. bulletins, messages, etc.

o Be a convenient and reliable resource and reference person for Conference Contacts and participants

o Fulfill desk coverage and duty responsibilities as assigned

o Create welcoming bulletin boards for conference groups

•    Must perform the following administrative tasks associated with 24 hour rollover:

o Inspect rooms after they are vacated by summer conference groups

o Re-inspect rooms after work is completed to verify a room is ready to be occupied

o Assist in the maintaining of paperwork associated with the rollover process

o Participate in the execution of the lock out process

•    Other duties as assigned by the Summer Conference Coordinators and Housing and Residence Life Staff

 

Qualifications

•    Must be knowledgeable and able to articulate and implement University policies,rules, and regulation; must also have a working knowledge of campus and community resources

•    Must be a WSSU student in good academic standing (minimum 2.5 GPA)

•    Must have a clear judicial record at the time of hiring and must maintain this status throughout the term of employment

•    Must have demonstrated the willingness to accept supervision, the ability to follow directions, the capability to work under pressure and work as a team

•    Must demonstrate excellent public relations and customer service skills

•    Must be committed to successful teamwork with the entire summer conference and housing staff

 

Terms of Employment

•    Applicants are required to work approximately 20 hours per week, including some early mornings, some evenings, some weekends, and on call/duty rotation schedule. Departmental permission is required for a Summer Conference Assistant to be away from campus

•    The position of Summer Conference Assistant takes first priority over other timecommitments

•    Must reside on campus

•    Limit outside time commitments to 20 hrs per week  

•    Summer Conference Assistant report directly to and are supervised by the Summer Conference Coordinators and/or Hall Director

•    Must be enrolled full time for Fall 2014

 

Other Duties, Responsibilities, & Expectations

•    Desk Duty: Entails working the main lobby reception area in the Residence Hall assisting the Conference Contact. Duty shifts are a minimum of two (2) hours.

•    Assist with various office duties relating to conferences such as preparing and distributing conference packets for participants; i.e. keys, Ram cards, room condition, occupancy lists, etc.

•    Maintain accurate key inventory records

•    Distribute conference packets to Conference Contact  

•    Provide professional staff with an active email account and phone number with voicemail, which must be checked twice daily for updates and notices
