ASI Design Request Form 2017-2018

Design Request Instructions

Associated Students Inc. (ASI) provides graphic design services for the ASI entities and ASI/Student Union initiatives. ASI will consider graphic design services for ASI co-sponsored initiatives on a case by case basis. All ASI design projects and projects that include the use of ASI-related logos, including promotional items and digital materials, must be approved in advance by the the ASI Associate Director and/or your advisor or supervisor prior to distribution. All ASI design requests and approvals must be initiated by the submission of this form.

To initiate a design project or design approval request, please complete and submit the ASI Design Request Form 20 business days prior to your desired in-hand date. We cannot complete or approve a project until we have received the ASI Design Request Form and final, completed files and text. Projects submitted with less than 20 business days notice will not be approved.

To calculate the latest possible date to submit a standard* project to the ASI Graphic Designer, follow these steps:

1) Determine the date you would like the piece to be completed (your in-hand date)

2) Work backwards on your calendar 20 business days

*Please note that logo design projects or multi-faceted projects require additional time to complete. Please contact the ASI Graphic Designer for a timeframe estimate for larger projects prior to submitting this form. 

Once the ASI Design Request Form has been submitted, the ASI Graphic Designer will contact you with questions or to set up a meeting if further information is necessary. You will be notified via email when your project is completed and/or approved.

Required Information 

All marketing materials must contain the following required information. If your request does not contain the following information, it will not be approved.

  • Name of event

  • Date of event

  • Time of event

  • Location of event

  • Price, registration, or application details and deadlines (if applicable)

  • Reason for advertisement (looking for volunteers, requesting attendance, etc.)

  • Contact information (email address, organization phone extension, website, etc.)

  • Official logo

  • Accommodation statement (copy and paste the accommodation statement text below):

Full Accommodation Statement (This statement should be printed in any publication that describes a specific program or special event, e.g., seminar, film, speaker, performing arts series, employment programming, etc.)

Posting Through the SEAL Center

Complete this Request for Approval to Post Materials Form in its entirety.
Bring the form and posting materials to the SEAL Center located in Bell Tower East, 1769. If the office is closed, a drop box located next to the door.

Submit 40 total copies of the following: 8.5” x11” (standard) or 8.5” x 14” (legal) can be posted in all locations. 11” x 17” or larger can be posted in the Student Union if brought directly to the front desk after being stamped by the SEAL Center. 

Your marketing will be reviewed and if no changes are necessary, will post within two to four (2-4) business days.
If changes are required, you will be notified of the necessary edits and will need to provide revised material. 
Flyers will be date-stamped and remain posted for two (2) weeks.

Budget Approval
Prior to completing this form, please verify with your advisor that your entity has the budget to cover the entire cost of this project. The accounting string that should be charged for the cost of printing must be submitted within this Design Request Form. 

Outside Design Project Approval 
If you choose to design digital or print marketing materials on your own or though an outside designer, all materials must contain the required information listed above and receive the advance approval of the ASI Graphic Designer and your entity advisor, which may require time for changes prior to distribution. Please use this form to submit your marketing files for approval no later than 10 business days prior to your desired in-hand date.
