Important Reminders: Chapter Presidents' Conference

CONFERENCE FACTS

Date
The conference will be held this weekend, August 26-27 (Saturday/Sunday) at the Embassy Suites Orlando Buena Vista South.

(Note:  This property is owned by and located just a couple of miles south of the Caribe Royale Orlando.)

Behavior & Code of Ethics
Please take the time to have a conversation with your students regarding the expectations for their behavior.  You will find that this an extremely nice property and we want to be sure that we make a great impression on the hotel staff and management.  Every room is a two-room suite and most rooms will have five students in them.  It is important that the students respect the facility and the staff.  Please help us ensure that your students understand the importance of their behavior in helping us build meaningful relationships with properties that are willing to host large student groups like ours.

Onsite Registration
Once you arrive at the Embassy, do not go to the front desk.  Instead, visit our registration desk in the convention center and our FFA staff will assist you.

Costs
Student $100
Adult Double $125
Adult Single $175

Price includes meals, lodging, conference materials, shirt, etc.  Adult Single Occupancy is based on limited availability and may not be available.

Chaperones
Please remember that the advisor attendance policy is in effect and all students must be accompanied by a designated school district representative.  In the event that the designated representative is not the FFA advisor, a chaperone designation letter from the school principal is required at the time of check-in.  It is imperative that the letter specify the name of the chaperone and include the principal’s signature.  If your designated school district representative is another FFA advisor from your county, it is imperative that all parties are aware before arriving at the conference.

Dress Code
Students should be in official dress for the opening of the conference. Students will need business casual clothing for the remainder of the conference.  Students should arrive in official dress as we will not check into rooms until dinner.

Required Forms
Florida FFA requires that each student complete and submit the Florida FFA Permission and Emergency Medical Form, including notary signature, for each overnight event.  This form is attached to this email below and can be found on the Florida FFA website at www.flaffa.org.  Please bring completed form with you to the conference.  Please do not fax or send permission forms prior to the event.

Cancellation Policy
Fees are non-refundable unless cancellations are made 48 hours in advance to check-in.  All payments are due at time of check in.  If payment is not received at check-in, a credit card will be necessary to secure conference attendance.
