Office of Residence Life - Official Notice
Closing Procedures - May 2016

All University residences will officially close and be locked on Thursday, May 12, 2016 at 6 p.m. No student without specific permission can stay past 6 p.m. If students have exams during the last time slot on Thursday, May 12, they must contact their AC/GRC for more specific instructions about move-out.

There will be a PRELIMINARY checkout conducted by a member of the Residence Life Staff.  This includes the following:-

  • Sign up for a closing time through the Google Doc provided by the Area Coordinator BEFORE 4pm May 4, 2016
  • Students must remove all personal items. There is no storage over the summer; items left behind will be charged a removal fee.
  • Close and lock all windows
  • Close curtains
  • Clean your refrigerator, microwave, stove, and oven before leaving.
  • Remove posters, pictures, 3M hooks, and tape from the walls.
  • Remove all trash
  • Turn off lights
  • Dubunk/unloft all beds

Your room should be left in the same condition when you move in. Failure to do so will result in an additional cleaning fee.

A preliminary inspection of student rooms will be done with students during the escorted check out process.  It is important to know that this is a preliminary inspection.  A thorough inspection will be completed after the halls close.  Any damage charges will appear on in July. It is the student’s responsibility to contact the Office of Residence Life by September 1, 2016 if they have questions about damage charges.

If a student would like to take responsibility for specific damage to their room, floor, or building, they should complete the Individual Responsibility form located in the Office of Residence Life, online by clicking here or at the checkout areas.

Students are required to check out within 24 hours after their last final OR by 6 p.m. on May 12, 2016, whichever comes first. If students have a final that ends at 6 p.m. or later, they need to contact their Area Coordinator for approval for a late checkout.

Students will sign up using the Google Doc sent to you by your AC/GRC.  Please sign up for a time and date based on when you will be finished with finals, your belongings have been moved out of your room, and you have completed the other items listed above.  You will meet a residence life staff member at the designated location who will escort you to your room and complete the preliminary inspection form with you.  It should be noted that failure to go through the escorted check out process will forfeit your right to the damage appeals process.  You will also be charged $50.00 for an improper check-out.

Please submit a check-out date and time by completing the following online form send by your AC/GRC.
